Shopify Shipping Response Templates for Customer Service
Shipping questions do not need a fresh paragraph every time. These Shopify shipping response templates cover order status, tracking, delays, label-created updates, and international delivery without making promises you cannot keep.
Before you send a shipping response
Check the order, the carrier event, and your stated processing time first. A fast reply that says a parcel is moving when the carrier has not scanned it creates a second support ticket. The useful shipping reply has three parts: what you know, what the buyer can check, and what you will do next.
Five Shopify shipping response templates
1. Order is within the stated processing window
Hi [Name], your order is still within our [X]-business-day processing time. We expect to send the tracking link as soon as the carrier scan is recorded. Thanks for your patience.
2. Tracking link is available
Hi [Name], your order has shipped. You can follow it here: [tracking link]. Carrier scans sometimes take a little time to appear, but that link is the best live update.
3. Carrier delay after dispatch
Hi [Name], I checked the tracking and the parcel is delayed with the carrier. It is still in their network, and the latest update is [event/date]. I will check again on [date] if it has not moved.
4. International shipping question
Hi [Name], we do ship to [country]. Delivery time is usually [range] after dispatch, but customs can add time that neither the carrier nor we control. Any local duties are set by the destination country.
5. Order has not shipped yet
Hi [Name], thanks for checking in. Your order has not left us yet. It is scheduled to ship by [date], and we will send tracking as soon as it does.
When tracking says label created
"Label created" means the carrier has the shipping information. It does not always mean the carrier has physically accepted the parcel. Do not tell the customer it is in transit unless the tracking actually shows an acceptance scan.
Template: Hi [Name], the tracking label has been created, but the carrier has not posted its first scan yet. That scan normally appears after handoff. If there is no update by [date], I will check it with the carrier and update you.
Turn these into Shopify saved replies
Save the five templates in Shopify saved replies for customer service, then keep only the greeting, tracking link, date, and carrier event as fields you change. This keeps repeat answers consistent while leaving the unusual cases for a real person.
Common questions
What should a Shopify shipping reply include?
State what is known now, include the tracking link or next update, and avoid promising a delivery date you cannot verify.
Should I use the same shipping response for every order?
Use a saved template for the repeatable middle, but personalize the greeting and replace any order-specific facts before sending.
What should I say when tracking only shows label created?
Explain that the carrier has received the shipping information but has not recorded an acceptance scan. Give the next point when you will check again rather than claiming the parcel is moving.
